Privacy statement for registration forms

This privacy statement concerns the electronic Service “European Biomass Conference & Exhibition – Registration Forms”

The object of the electronic data service, operated by ETA-Florence Renewable Energies, is to collect data from persons who wish to participate at the European Biomass Conference and Exhibition.

Pictures and videos will be taken/recorded during the conference sessions and exhibition. This material will be used for advertising and dissemination purposes ( publication on the Conference web-site, brochures, leaflets, Conference Proceedings, etc.)

What personal information do we collect, for what purpose and through which technical means ?

Identification data
The following personal data are collected: Name and gender of the applicant, business contact information, partner search interests for networking (voluntary), preference for attendance to the European Biomass Conference & Exhibtion

These data serve to identify the respondent in order to include him on participants list or on the waiting list for the European Biomass Conference and Exhibition. In addition, they help us contact respondents to inform them of any potential changes to the event of which they need to be aware.

Event Participants List :
The Event Participants List together with the List of Participants – Addendum contains the Name, Organisation and Country of each participant. It does not contain post address, e-mail address or phone numbers. Both lists will be inserted in the delegates bags which will be distributed to each registered participant.
The complete contact data of the participants will not be published anywhere and will not be made available to a third party or used for any purpose except that stated above.

Workshops
Also, the data are used to determine the potential interest in workshops offered. This is necessary to allocate the available meeting rooms and provides ETA-Florence Renewable Energies with feedback on the interest in the different thematic areas of the programme.

Additional information of a personal nature in relation to the service
The contact data provided by the respondent make it possible to contact him/her again to request a clarification if necessary on the information supplied.

Technical information
The system uses session “cookies” in order to ensure communication between the client and the server. Therefore, your browser must be configured to accept “cookies”. However, it does not collect any personal or confidential information of any kind, nor any IP address form your PC. The cookies disappear once the session has been terminated.

Who access to your information and to whom is it disclosed ?

The results will be collected and analysed by ETA-Florence Renewable Energies. Neither ETA-Florence Renewable Energies nor the European Biomass Conference and Exhibition Organisers will share data with third parties for the purpose of direct marketing.

How do we protect and safeguard your information ?

Immediately after submission of the form, your data are forwarded by mail and inserted in a database which is not accessible from outside of ETA-Florence Renewable Energies. Inside of ETA-Florence Renewable Energies the database can only be accessed using a UserID/ Password.

How can you verifiy, modify or delete your information ?

Your data will be remain in the database until you request the cancellation.
